Expert Medical Examination Ltd (“we”, “our”, “us”) is an independent medical reporting organisation (MRO) working with solicitors and insurers across England and Wales. This policy sets out how we work to limit the environmental impact of our business and what we ask of our staff and suppliers.

1. Our commitment

We are committed to minimising the environmental impact of an office-based professional services business, and to complying with the environmental legislation and regulations that apply to us.

The impact of our work is modest compared with manufacturing or heavy industry, but it is not nothing. Our main effects come from energy use in our office, paper and printing, business travel, and the equipment and services we buy. This policy focuses on those areas because they are the ones we can control.

2. Scope

This policy applies to our offices, to everyone who works for or on behalf of Expert Medical Examination Ltd, and to the way we deliver our services. It covers our day to day operations, the way we handle records and materials, and the choices we make when buying goods and services.

Where work is carried out by independent medical experts, clinics or other third parties, we ask them to apply equivalent standards within their own organisations.

3. Digital first working

Our services are delivered digitally wherever possible. Instructions, medical records, draft reports and final reports are produced and shared electronically, and case files are held in secure digital systems rather than as paper files.

Working this way reduces printing, paper use and physical postage, and it removes the courier journeys that a paper based reporting process would otherwise require. We print only where a paper copy is genuinely needed, and we ask staff to consider whether a document needs to be printed at all before doing so.

4. Reducing travel impact

We arrange examinations at venues close to the claimant wherever this is practical and appropriate for the case. This is first and foremost a service decision, because it makes attendance easier for people who are injured, and it also cuts unnecessary road and rail travel.

We use remote meetings and video calls where they are suitable for the purpose, rather than travelling for meetings that can be handled just as well online. Where travel is necessary, we encourage staff to use public transport where it is practical to do so.

5. Energy and resource use

We take sensible steps to limit energy and resource use in our office:

  • Switching off lights, monitors, printers and other equipment when they are not in use, and at the end of the working day.
  • Using energy saving settings on IT equipment where they are available.
  • Avoiding waste of paper, consumables and other office materials.
  • Reusing and repairing equipment and supplies where it is practical to do so, rather than replacing them.
  • Recycling where facilities are available at our premises.
  • Avoiding single use items in the office where a reusable alternative is available.

6. Waste and confidential material

We aim to dispose of waste responsibly and to recycle wherever facilities allow. Paper, card, and where possible plastics and electrical items are separated for recycling rather than sent to general waste.

Much of the material we handle contains personal and medical information. Confidential material is securely destroyed, and secure destruction is our first duty here. Where a secure destruction route allows the resulting material to be recycled, we prefer it. Redundant IT equipment and storage media are disposed of securely and, where practical, through routes that allow reuse or recycling.

7. Procurement

When we choose suppliers, equipment and services, we consider environmental impact alongside cost, quality and suitability, where it is practical to do so.

  • Preferring suppliers who can show a considered approach to their own environmental impact.
  • Choosing equipment with better energy efficiency where a reasonable option exists.
  • Buying what we need rather than over ordering, and choosing durable items over disposable ones.
  • Preferring recycled or responsibly sourced paper and office consumables where available.

8. Staff awareness and responsibility

This policy only works if the people who work here follow it. We make staff aware of the policy and encourage everyone to apply it in their daily work, whether that is thinking before printing, switching equipment off, or flagging waste that could be avoided.

Suggestions from staff on how we could reduce our environmental impact are welcome and will be considered.

9. Monitoring and review

We review this policy periodically and update it where our operations, our premises or the applicable law change. Any updated version will be published on this page with a revised date.
